Write Your Own Business or Cover Letter

Summary
Students will write a formal business or cover letter to a specified individual and organization. Students are given the information to include, but they must write the actual letter. Students will then practice using their email accounts to attach and email the letter to their teachers.

Overview
Skill level: Challenging due to written skills required, basic computer skills required

Activity Goals:
Gain a better understanding of MS Word
Practice using email
Practice writing letters in Word

Material Needed:
MS Word
Internet
Email accounts for each student
Computers (no more than 2 students per workstation)

Prerequisites:
Students should be familiar with MS Word
Students should be familiar with email
Students should be fairly capable typers

Procedure:

Write your own business letter:

Write a business letter to Ms. Charlene Rawlins. She is the Associate Director of Rosedale Publishing, Inc. Her office is located on the 3rd Floor of 344 12th Avenue in Manhattan. The zip code is 10065.

You are the Director of the Parks Department's Afterschool Program. You are writing her to find out if her company will donate children's books to the Parks afterschool programs. You are requesting these books because they will enhance the education Parks Afterschool programs can offer to the children who go to our recreation centers after school.
Make sure Ms. Rawlins knows that

  • Parks runs 36 afterschool programs in all five boroughs
  • The kids are ages 8 to 13 and that they spend 3 hours a day at our centers
  • The educational services provided are for underprivileged kids throughout the city

Be sure that the end of your letter includes where she can reach you to speak more about your request for books. Finally, end your letter by telling Ms. Rawlins that you will be contacting (ie: calling) her in a week (provide the exact date!) to follow up on this letter.
